Writing a formal letter has its own standards to conform to. There is a correct format to follow. A letter should be written in the proper way so that it can give the recipient a reason to read it. However, it is advisable at all times to find out the name and gender of the recipient. The second option is used if you know the name and gender of the recipient. You can choose from any of the appropriate titles such as Mrs., Mr., Miss/ Ms., Engr., Arch., Dr., and the like. You do not need to write the complete name, only the surname. If the recipient is a woman and you do not know if she is married or not, it is safe to use “Ms.” Which is both for single and married women.
How do you end a letter? There are many different ways on how to end a letter. To name a few, it can be “yours faithfully”, “yours sincerely” and your signature. The first option, “yours faithfully”, is used when you do not know the name of the person you are writing to. The second option, “yours sincerely”, is to be used if you know the name of the person you are writing to. The third one, your signature, is to be used if the recipient might not be aware of your gender. Affix your signature above printed complete name. Put your title inside brackets after your complete name.
What are the contents of a formal letter? There can be three different paragraphs in a basic letter: opening paragraph, one or more bodies of letter and closing paragraph. The first or opening paragraph must be brief and state the letter’s purpose- to make a request, complaint or inquiry. The body of the letter must contain the related information and details of the purpose of the letter. It does not need to be long for as long as it is organized in a logical and clear manner and it delivers an understandable thought, The closing paragraph should state the specific action you expect from the recipient.
